PLEASE READ : Acceptance of Homestay Conditions by International Students

SCHEDULE 1
Fees must be paid from an invoice issued by CETA Worldwide Education within the due date on the invoice, payment instructions are included on the invoice.
  1. Conditions as follows:
PAYMENT
  • Payment upon invoice must be paid by the due date, rates and payment plans are included in the invoice sent by CETA, late fees apply for payments not received within the specified time for payment.
  • If using the service for the first time – a placement fee is applicable.
  • A holding room fee for keeping a room available over holidays and other periods that you are not living at the home for a minimum of 14 days is set at 50% of the normal weekly rate. This guarantees that your room will be kept for you on your return. The minimum period that the holding room rate applies is two weeks, notice must be given two weeks in advance by registering online at http://www.homestayceta.com/request-for-leave-from-homestay
  • All payments for Homestays fees to the Hosts are made by CETA.
  • A change of Homestay fee is payable by you if you request a change of Homestay or if for reasons, after due notice and mediation, the Homestay Host is unable to continue for you to live in their home.
  • No change of Homestay fee is payable by you if the Homestay Host gives notice that they are no longer able to Host Students in their home. – E.g. moving out of the area etc. If the Student is in breach of Homestay rules under SCHEDULE 3 there will be a Homestay placement fee charged.
STUDENTS LEAVING PERMANENTLY
If you plan to move out, you must notify and give CETA advance notice in writing or by email - a minimum of four weeks’ notice is required. The date of the four weeks notice begins once the school approves the move out date.You will forfeit four weeks accommodation payment for failure to do this. Your Host will then be informed of your date of moving out. You will need to let CETA know the approximate time of moving out on the specified day, and how you intend to travel to your new Host Family. All keys must be returned to the Host or you will be liable for change of locks fee. The Student’s room must be left as you found it when you moved into the Homestay.

SCHOOL HOLIDAYS
You must notify CETA, with a minimum of two weeks’ notice by filling out the leave form on line at http://www.homestayceta.com/request-for-leave-from-homestay/ Failure to do this will result in full fees to be paid during the holiday period.
There is a holding fee for keeping a room available at 50% of the normal weekly rate of away for a minimum of 14 days for each time away. (Not accumulative throughout the year)

BOND
This refundable fee is payable to cover incidental costs such as minor damage, extra cleaning incurred by the Homestay, rubbish removal etc. Homestay Hosts must communicate to Students to inform them of the problem and get agreement what course of action they will takebefore going ahead with an expense, CETA then reimburses the Homestay Host accordingly and notes the amount to be deducted from the Student’s bond before they leave the home.

CHANGE of Homestay Fee
This fee is for the service to find and secure a new Homestay for Students after discussions have been held between CETA Homestay, Students and the Host and the reasons for change have been agreed to. This fee is not payable by the Students for change of Homestay if the Host Family is no longer able to Host, such as move of home, sale of home etc. If the Student is in breach of Homestay
rules under SCHEDULE 3 there will be a Homestay placement fee charged.

REFUND for fees for time not used in Homestay
Time away from the Homestay for minimum periods of 14 days or more will be refunded at the end of the year at 50% of the full fee rate pro rata, a refund form must be submitted ; use link:http://www.homestayceta.com/refund/

If Students leave before the time period paid for Homestay and have given 4 weeks’ notice, a refund form will be sent so that CETA can refund monies for unused time, an admin fee, for the refund and bank charges will apply. Students in Year 12 must give notice when they leave after the final exam in Year 12, so we can calculate if a refund is to be made.

SCHEDULE 2

CETA HOMESTAY FEE PAYMENT FOR STUDENTS AND REFUND POLICY

Placement Fee
This is paid to CETA Homestay to confirm a Homestay placement is required. It covers the cost of recruitment of Host families, training of hosts to meet standards, check requirements are in place for students under 18 years of age and all work associated with ensuring all compliances are met.

The Placement fee is not refundable once payment has been received.

Homestay Fees
This is paid to CETA Homestay either by termly, semester or yearly payments. If the student leaves CETA, Fees paid in advance are refundable only if 4 weeks’ notice is provided in writing. A refund form needs to be submitted on line use link:http://www.homestayceta.com/refund/. The commencement of the 4 weeks’ notice begins from the time the students’ school approves the move.

The student will need to put in a refund form at the end of the calendar year for a refund to be issued. Refunds are paid at the end of the calendar year. If refunds are requested during the year, a $250 admin fee is deducted from the refund amount

Late Fees for payment
If fees are not paid by the due date on the relevant invoice as stated in the invoice, a late fee of $300 is payable by the student for each invoice paid late.


Pre arrival cancellations
If a student cancels their homestay placement and provides more than 2 weeks’ notice prior to their arrival, the homestay fees will be refunded less $250 admin. Placement fee will not be refunded If student cancels their homestay placement and provide less than 2 weeks’ notice prior to their commencement they will forfeit 2 weeks homestay fees plus placement fee, and $250 admin fee

Pre arrival changes or delays
If a student doesn’t arrive by the intended start date due to visa delay, there will be no charge for the change of start date if it is advised in writing at least one week prior to arrival.

Student may be required to pay another placement fee if CETA Homestay is not advised in writing of changes of dates less than one week. CETA Homestay cannot guarantee the same Homestay will be available for the student.

Post arrival changes and cancellations
Once a Homestay placement has commenced, CETA Homestay will not refund homestay fees until the end of the calendar year on submission of a refund form online. use link:http://www.homestayceta.com/refund/

2 weeks advance notice is required in advance for any leave during the year – see Holiday Leave

If a student is not happy with the Homestay placement, CETA Homestay will liaise with the student, Extra care counselor and the Host to address any concerns and assist to resolve the concerns.

Change of Homestay
If a student wishes to change homestay and there is no acceptable grounds for the change, the student will need to pay 4 weeks fees even if they move out earlier than the 4 week notice period. Another placement fee will be charged to place the student in another homestay.

Transfer costs i.e travel, extra cleaning required, rubbish removal and other logistics resulting as a result of the move to another / new homestay must be paid by the student

If a Homestay decided to cancel the student’s placement and there has been no breach of contract by the student, CETA will arrange a suitable replacement homestay and there will be no homestay placement fee charged to the student to source a new homestay

If Hosts require the student to be moved and there has been a breach of contract to the homestay rules by the student, students will be charged another homestay placement fee and maybe required to be moved immediately and are responsible for all costs for the move

All cancellations or changes of a homestay placement needs to be in writing.

Holiday leave
Holiday leave forms need to be submitted 2 weeks prior to the date the student goes on leave during term break. (See REFUND for fees not used in Homestay below). If forms are not received 2 weeks prior to student leaving host family during term breaks, full fee will be charged to the student.

If less than 2 weeks notice for holiday leave is given, the full fee will be charged to the student regardless if they do not live in the homestay at that time

If Students leave before the time period paid for Homestay and have given 4 weeks’ notice, a refund form needs to be submitted on line so that CETA can refund monies for unused time for the refund and bank charges will apply.

Students in Year 12 must give notice when they leave after the final exam in Year 12 by 31 October, so we can calculate if a refund is to be made. Refunds for Students not in Year 12 but continuing to stay in Homestay the following year must be submitted by 30 November of the same year and advice given of their leave time in December and January at the end of the academic year.

Refunds will be paid to an Australian Bank account. If an overseas telegraphic transfer is required, a $30 service charge will be deducted from the refund amount. Bank fees will be charged.

If refunds are requested prior to the end of the year, a $250 admin fee is charged and deducted
from the refund amount

BOND
This refundable fee is payable by the student to cover incidental costs such as minor damage, extra cleaning incurred by the Homestay, rubbish removal etc. Homestay Hosts must communicate to Students to inform them of the problem and get agreement and advise CETA in writing so this can be verified, if required, by the student and their Extra Care Counsellor to what course of action they will take before going ahead with an expense. CETA Homestay then reimburses the Homestay Host accordingly and notes the amount to be deducted from the
Student’s bond in the final calculation of the refund to the student

The Bond is not refundable each year and is held by CETA until the end of the student’s stay

Short term study tours
All fees are paid in full prior to the commencement of the tour. Students cannot give notice to move out of homestay and there will be no refund of fees paid in advance If a student on study tour is required to move, the cost of the associated move is to be paid by the student and/or tour company, if there are extenuating circumstances for a move by a study tour student, the tour company can mediate the cost of the move with CETA

SCHEDULE 3

Homestay Rules and Expectations

CURFEW TIMES
Your Extra Care Counsellor will discuss with you the expected curfew times. Generally these are as follows:
  • Monday to Thursday – home by 6pm
  • Friday and Saturday – home by 9.30pm
  • Sunday – home by 6pm
You must inform your Host where you are going, how you are travelling to and from the destination and what time you intend to be home. If you are not planning on being home for dinner, please inform your Host in advance.

OVERNIGHT STAYS
It is expected that you will return home to the Host Family every night. If you are wanting to stay overnight anywhere other than your Host Family, this must be pre-arranged in advance with School approval and Extra Care Counsellor. Your Extra Care Counsellor will then inform your Host and CETA of these arrangements.

SMOKING AND ALCOHOL
No smoking is permitted by Students. The keeping or drinking of alcohol under any circumstances is strictly prohibited for Students under 18 years of age as per Australian Law. Students over the age of 18 are to abide by this rule also as per School Guidelines.

MOBILE PHONES
It is expected that you will have your mobile phone with you at all times and it is to be charged, in credit and turned on if someone needs to contact you.

NOISE LEVEL IN THE HOME
It is expected that you keep noise level to a minimum and you respect all other members in the home. Please discuss with your Homestay what time they expect you to have had your shower by in the evenings and what time they expect lights out.

BATHROOM AND BEDROOM
It is expected that you keep shared bathrooms and your bedroom clean and tidy.

RULES OF THE HOUSE
Homestay Hosts will communicate with you regarding rules of the house, about what is expected and routine procedures in the home - different homes will have different circumstances and rules.
You must communicate openly with your Host Family and be respectful of their care and attention to you to welcome you into their home. Standard conditions to cover your personal safety whilst living in Homestay and studying in Australia includes communication with the Homestay and understanding the Homestay rules.

BREACH OF HOMESTAY RULES
If it is found that after reasonable discussion to resolve issues regarding areas of concern between the Homestay Host and Student, and three warnings have been given to you by the Homestay and/or your Extra Care Counsellor, that you have not followed rules for safety and acceptable behavior in the home (as per a Code of Conduct similar to that expected by your school), you will be asked to leave the Homestay immediately, pay four weeks leave notice fee and relocation administration fee of $300.
